Refund processing and timelines on ZenDocs

This page explains how Zendocs refunds are processed, the typical timeline you can expect, and what to do if your bank takes longer than usual to credit your account. Refund eligibility is set out in Section 4.5 (Refund Policy) of our Terms & Conditions, which you accepted at sign-up.
Standard refund timeline
Per Section 4.5 of our Terms & Conditions, once a refund is approved on our side:
- Most banks credit your account within 5–10 business days.
- Some banks display a pending status within 1–2 business days after we issue the refund.
- In rarer cases, processing can take up to 15 business days, depending entirely on your bank's internal handling.
You'll receive a confirmation email from Zendocs the moment your refund is issued from our end, including the amount and the date.
Refunds in a different currency
If your original payment was processed in a different currency than your card's home currency, Section 4.3 of our Terms & Conditions applies:
- The exchange rate is determined by your bank or card issuer, not Zendocs.
- Any currency markup fees applied by your bank are not refundable.
- You may see separate currency conversion charges on your bank statement.
If the refunded amount looks slightly different from the original charge, this is almost always due to your bank's exchange rate on the day the refund clears.
How the refund returns to you
Refunds are issued to the original payment method used at sign-up. We're unable to redirect a refund to a different card, account, or wallet — this is a payment-processor rule that applies industry-wide.
If your card has expired or been closed, your bank will still receive and credit the money to your account balance in nearly all cases. Banks are required to forward refunds to the new account or balance attached to the closed card.
What to do if your refund hasn't arrived
Once we issue a refund, we can no longer monitor it inside your bank's processing system. If 10 business days have passed since you received our confirmation email and you don't see the credit:
- Check your bank statement for the refund descriptor — it may be listed under a slightly different name than the original charge.
- Contact your bank with the issue date and the original transaction details.
- If your bank can't locate the refund, email [email protected] and we'll resend the transaction details and processor confirmation.
